Checkout comes after sign-off

Checkout is the last of the 6 visit steps, right after Sign. It stays blocked until the provider signs the chart, so you only bill for care that's documented.

2Step 2

Add tips, promos and member pricing

Checkout shows the services rendered and the estimated total. Add a tip for the provider, apply a promo code and the patient's membership discount, then split the total across payment methods if needed.

3Step 3

See what processing costs

The Payouts tab sums up gross revenue, tips, discounts and processing fees. Set your fee as a percent plus a per-transaction amount, and the summary shows what processing costs you.

Checkouts add up on Today, and Dolce AI reads the day's visits and revenue from there. Its insights suggest revenue and retention moves, each with a why.

Promo codes with rules

Make a code for a percent or a flat amount off. Set a minimum spend, a maximum number of uses and an expiry date.

Membership discounts at checkout

Members get their tier's service discount at checkout, and it counts toward discounts in payouts. Set up tiers in Memberships.

Split across payment types

Split one bill across cash, card, check, HSA/FSA or CareCredit. Each method is recorded, and reports show revenue by payment method.

Invoices and email receipts

Invoices show Paid, Partial, Pending or Overdue, and the Payments badge counts the open ones. Send or resend receipts by email and keep the full receipt history.

Refunds with a reason

Every refund needs a reason, like billing error or duplicate, dissatisfied, service not rendered or medical reason. Refunds get their own tab.

Can I charge cards in Dolce?
Card processing through Authorize.Net is rolling out. It's built so card numbers are tokenized in the browser and never touch Dolce servers. Checkout already records the payment type, and cards on file keep only a label and the last four digits.
Which payment types can I record?
Cash, credit or debit card, check, HSA/FSA and CareCredit. You can split one bill across more than one of them. Reports then show revenue by payment method.
Why does a refund need a reason?
So anyone reading the books later knows what happened. Pick a reason like billing error or duplicate, dissatisfied, service not rendered or medical reason. The audit log records who made the refund.
Can a patient check out before the chart is signed?
No. Checkout is the last step of the visit and stays blocked until the provider signs the chart. That keeps every bill tied to a signed, locked note.
What do payouts show?
Payouts show gross revenue, tips, discounts and processing fees. You set the processing fee as a percent plus a per-transaction fee, so the summary reflects what processing costs you.
Does Dolce AI charge cards or change invoices?
No. Dolce AI reads the day's visits and revenue on Today to suggest revenue and retention moves. It never charges a card, issues a refund, applies a discount or edits an invoice. Every payment decision stays with your team.
