How it works

From booking to check-in

1Step 1

Book in one modal

Press A to open the booking modal. Pick the patient, service, provider, room and location, or choose Any Provider. If the provider or room is already taken, the server stops the booking and says why in plain English.

2Step 2

Fill openings from the waitlist

Patients go on the waitlist with a Morning or Afternoon preference. When a slot opens, work down the list, mark who you contacted and book them right from the list.

3Step 3

Check in and hand off

Check-in confirms consent was obtained, intake forms are complete and vitals are due. Consent is required, and finishing check-in creates the encounter record. The provider then starts the visit from Today with the patient and service already loaded.

4Step 4

Your patterns feed Dolce AI

Every booking and cancellation you record stays on the calendar. Together with visit cadence, they feed Dolce AI's revenue recommendations in Marketing. Each recommendation shows why, and your team decides what to act on.

Scheduling tools your front desk will use

Day, Week, Provider and Room

Switch views to see the day by time, by provider or by room. Each provider's calendar color comes from their profile, so schedules are easy to tell apart.

Drag to reschedule

Drag an appointment to a new time and drop it. The server checks the new time for provider and room clashes too.

Double-booking protection

The server checks every booking against the provider's and the room's other appointments. A clash shows once, in plain English.

Recurring appointments

Set a booking to repeat every day, week or month, or leave it as a one-off. Handy for IV series and maintenance visits.

Feeds Dolce AI's recommendations

Bookings, cancellations and visit cadence feed Dolce AI's revenue recommendations in Marketing. Nobody has to pull a report to see the pattern.

Quick-add inside the booking

Add a new patient, service, provider or room inline, right inside the booking modal. Nobody has to leave the booking to set something up.

What happens if two bookings land on the same room?
The server checks each booking against the provider's and the room's other appointments. If there's a clash, the booking doesn't save and your front desk sees one plain-English message about it. Because the check runs on the server, it covers every computer in the clinic.
Can patients book online?
Online self-booking is coming soon. Right now your front desk books from the calendar, from the Today screen or with the A shortcut. Patients who want a sooner time can go on the waitlist.
How does the waitlist work?
Add a patient with a Morning or Afternoon preference. When a slot opens, work the list, mark who you contacted and book them from the list.
Can I flag that a visit needs a deposit?
Yes. You can flag an appointment as needing a deposit so the whole team sees it. Card processing through Authorize.Net is rolling out, and payments are recorded at checkout in Payments.
What does check-in confirm?
Consent obtained, which is required, plus intake forms completed and vitals to be taken. Active forms go out at check-in, and patients can fill them in on their own phone from a text link or QR code. See intake forms.
Does Dolce AI book or move appointments?
No. Dolce AI reads booking, cancellation and visit-cadence patterns to make revenue recommendations in Marketing. It never books, moves or cancels an appointment. Your front desk does the booking, and a person decides which recommendations to act on.
